Job summary:
We are looking for a proactive and organized Events & Webinar Intern to support our events team in delivering high-quality external and hosted experiences. You will play a key role in the end-to-end coordination of events, from initial logistics and speaker management to digital promotion and performance tracking. This is an excellent opportunity to gain hands-on experience in both large-scale industry events and intimate, high-impact corporate gatherings.
Main tasks & responsibilities:
1) Support the planning and execution of conferences
Coordinate with event organizers to manage speaker information, delegate lists, and the branding (logos/descriptions).
Prepare detailed event run-sheets for speakers and attending teams to ensure smooth execution.
Manage logistics, including supplier relations and the preparation of creative files (booth designs, roll-ups, and posters).
Draft and schedule LinkedIn posts for pre- and post-event promotion.
Brief the website team on building dedicated event webpages.
2) Support the planning and execution of South Pole hosted events
Assist in the organization of South Pole hosted events, such as report launches, Climate Leaders Forums etc.
Support the team with invitation outreach, managing registrations, and uploading event leads.
Liaise with suppliers (venues, catering, etc.)
Brief the design team on the development of event visuals, banners, and digital assets.
Assist the team with logistical preparations, such as updating and printing badges, posters, attendance sheet, etc and provide support on the day of the event (e.g., preparing the venue if needed, checking attendance, distributing badges, etc.).
Assist in tracking and reporting on the performance of these hosted sessions.
Requirements:
Exceptional interpersonal and communication skills (both written and oral) in English.
Strong organizational abilities with attention to detail and a commitment to accuracy.
A proactive and self-driven approach to work, with a proven ability to take initiative.
