Corporate Executive Assistant
Position Summary The Corporate Executive Assistant to the CEO provides high-level administrative and strategic support to the Chief Executive Officer. This role requires exceptional organizational skills, discretion, business acumen, and the ability to manage complex priorities in a fast-paced corporate environment. The Executive Assistant serves as a trusted partner to the CEO, ensuring seamless daily operations and effective executive decision-making support.
Key Responsibilities
Executive Support
● Manage and optimize the CEO’s complex calendar, scheduling meetings, appointments, and travel.
● Coordinate domestic and international travel arrangements, including detailed itineraries.
● Prepare briefing materials, agendas, presentations, and reports for executive meetings.
● Screen and prioritize incoming communications, responding or escalating as appropriate.
● Act as gatekeeper and liaison between the CEO and internal/external stakeholders.
Strategic & Operational Support
● Support strategic initiatives by conducting research, preparing summaries, and tracking action items. ● Coordinate board meetings, executive leadership meetings, and investor communications.
● Draft, edit, and proofread correspondence, speeches, and internal communications.
● Assist with special projects, ensuring timelines and deliverables are met.
● Maintain strict confidentiality of sensitive corporate information.
Relationship & Stakeholder Management
● Build strong relationships with senior leadership, board members, clients, and partners.
● Represent the CEO’s office with professionalism and diplomacy.
● Facilitate cross-functional communication to support alignment and execution of company priorities.
Administrative Excellence
● Maintain organized digital and physical filing systems.
● Process expense reports and oversee budget tracking for the executive office.
● Identify and implement process improvements to enhance executive office efficiency.
Qualifications
● Bachelor’s degree in Business Administration or related field preferred.
● 5–10+ years of experience supporting C-level executives, preferably a CEO.
● Exceptional written and verbal communication skills.
● Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
● Strong project management and organizational skills.
● High emotional intelligence and sound judgment.
● Ability to thrive in a fast-paced, high-pressure corporate environment.
● Absolute discretion and integrity when handling confidential information.
