Commercial Support Specialist
Job summary
South Pole is looking for a Commercial Support Specialist to strengthen the Commercial deal support team, and to help deliver on our commercial obligations. You will work in a diverse and international team engaged directly with commercial teams across the globe.
The goal of the Commercial Support Specialist is to work closely with the Sales team with administrative tasks in order to improve sales capacity and efficiency. In this role, you will be accountable to support a flawless delivery of South Poles commercial obligations. This includes a variety of responsibilities such as completing pre- and post-sales admin tasks, coordinating with other South Pole teams and stakeholders, using our systems to facilitate the certificate order and invoicing process, whilst maintaining a high level of accuracy and time management. To do this, the Commercial Support Specialist will develop a close working relationship with multiple South Pole teams, including Sales, Registries, supporting functions such as Accounting, Legal and Operations. South Pole is a truly international company, with diverse colleagues from many backgrounds.
Main responsibilities
Support the Sales team to process commercial agreements of climate action credits & renewable energy certificates in South Poles internal systems. This would require you to create, structure, and organise each sale within our own defined process. This includes uploading contracts for signature via Docusign, ensuring the contracts are fully executed, preparing all sales projects for a timely delivery to our clients, raising inventory checks and reserve the right product for the sale, and then ordering the delivery for the client.
Monitor execution of contractual obligations, including delivery of climate action credits and renewable energy certificates on time and within the agreed contractual terms, in close collaboration with the Sales and Registry teams. Developing a strong overview of all commercial agreements, and being able to flag potential issues or risks early on, to facilitate corrective measures.
Enter contractual terms into South Poles own systems and also Salesforce. (e.g. billing information, identification of certificates) to ensure all commercial terms are visible and documented to a high level of accuracy.
Foster the adoption of new tools, by providing administrative support to the Sales team in the early phase transition to our new Enterprise Resource Planning (ERP) system
Support the Sales team with ad-hoc admin requests.
Daily troubleshooting. We strive to anticipate everything and plan as much as we can. To be able to do so, we encourage a self-starter to engage in continuous trouble shooting to ensure any potential issues or bottle neck are actioned before becoming more significant.
Structure and prioritise caseloads for other teams and stakeholders by identifying which commercial agreement and sales project should take priority (i.e. legal support, registry deliveries, accounts & finance)
Essential profile requirements
Prior experience conducting commercial and administrative tasks effectively
Previous Back Office experience preferable, but not essential.
High attention to detail.
Ability to pick up new processes and technology quickly and proficiently.
Strong organisational skills with the ability to prioritise, manage time and focus.
Excellent interpersonal skills, relationship building and enjoy working and supporting others
Experience with Google suite (G-Mail, Google Calendar, G-Sheets) would be advantageous
Experience with ERP systems i.e. Microsoft Dynamics would be advantageous
Experience with Docusign would be advantageous
Excellent written and oral skills in English.
