Job summary:

As an Executive Assistant, you will provide close support to the Director of the Global Sourcing team, Director of the Global Implementation team, the legal representatives of South Pole in Colombia, and occasionally other senior leaders located in Colombia in all their administrative and organisational needs.

Main tasks & responsibilities:

  • Providing high-level executive support to the Director of the Global Sourcing team and Director of the Global Implementation team in the Colombia office Supporting with the calendar and inbox management 
  • Make travel arrangements, including but not limited to booking travel and hotels, handling all paperwork related to passports and business visas as needed 
  • Manage and process business expenses 
  • Submit timesheets for the Senior Director of the Global Sourcing team and other senior leaders 
  • Drafting correspondence, documents, reports, presentations, etc. where needed 
  • Coordinate meetings with external stakeholders 
  • Assist with the organisation of the Director's public speaking activities, attendance at conferences, events, etc.
  • Organise internal events and/or gatherings 
  • Handle confidential documents and obtain contract approvals and signatures 
  • Go-to person for external stakeholders to coordinate urgent matters involving the Senior Director of the Global Sourcing 
  • Occasionally conduct specific research tasks 
  • Any additional tasks in support of the Senior Director of the Global Sourcing and senior leaders in Colombia, as may be required


Essential -

  • Experience providing executive support assistance at Senior management level
  • Strong organisational, communication and interpersonal skills
  • Ability to prioritize and handle multiple assignments at any given time 
  • High levels of integrity and discretion 
  • Fluent in Spanish and English spoken and in writing 
  • Acquainted with relevant software such as office package, project management software, database management
  • Comfortable working with a global, intercultural team in a fast-paced high-growth international environment

Desirable - 

  • Analytical skills and demonstrated ability to improve processes 
  • Impeccable attention to detail
