Executive and HR Administration Assistant, CO2logic

Fighting against climate change and its environmental, social, and economic consequences is our purpose. Founded in 2007, we are a Belgian leader in low-carbon strategy consulting. We bring almost 15 years of experience in measuring, reducing, and offsetting CO2 emissions to provide a credible approach to CO2 neutrality. Our team is made up of 25 professional consultants and continues to grow fast. Recently merged with the South Pole group of companies, we operate in Belgium and France.

Job summary:

Provide support to the management team in their administrative and organisational needs and manage HR operations, to ensure key policies and procedures are understood and implemented within the CO2logic team in Belgium and France.

Main tasks & responsibilities:

Executive Assistant (50%):

  • Providing high-level administrative support to the member of the management team, including calendar management
  • Obtain contract approvals and handle confidential documents 
  • Coordinate meetings with external stakeholders and assist Founder and CEO’s external activities
  • Organise management meetings and internal events 
  • Manage office’s logistics to ensure good working conditions and assist employees with any office-related needs or challenges
  • Be the point of contact with the landlord and the co-working office services

HR Administration (50%)

  • Be the first point of contact for employees with regards to any HR-related questions or concerns
  • Managing payroll administration and employee benefits 
  • Answer internal queries from employees regarding HR policies and procedures
  • Implement local health and safety procedures with the landlord
  • Support finance, legal, HR and IT operations in various deliverables associated to HR administration
  • Support recruitment activities, including posting job ads, scheduling interviews, and liaising with hiring managers
  • Managing new starters process as well as any other hire-related documents 
  • Registering new hires with insurances/pension and other government bodies, 
  • Delivering the HR induction to new hires, liaising internally with IT, hiring managers to ensure a seamless onboarding 


  • Education in business administration, HR or relevant fields for the role
  • Several years of work experience as Personal or Administrative Assistant and in the field of HR Administration
  • Advanced computer skills in MS Office and Google suites
  • Proficient level of English, Dutch and French, both oral and written
  • Ability to manage multiple priorities simultaneously while keeping strong attention to details
  • Sense of urgency, reactive, and efficiency-driven with right priorities management
  • Have good communication, organisational and prioritisation skills
  • Comfortable working in a fast-paced multicultural environment
